Embassy Grand Convention Centre: An 80,000 sq ft multi-venue campus delivered on time, on scope.

Overview

How a flagship convention centre used a live digital twin to keep 11 trades in sync across a full-building fit-out.

The Embassy Grand is one of the GTA's largest independent event and banquet facilities. The fit-out involved 11 specialist trades working simultaneously across ballroom, pre-function, kitchen, AV infrastructure, and FOH zones — with a hard opening locked to a booked event calendar that couldn't slip.

The problem

No single source of truth across 11 active trade fronts.

The GC was managing coordination through weekly superintendent calls and a shared Procore task board that trades updated inconsistently. The owner had no way to see which zones were actually complete versus which were just "marked done" — and kitchen commissioning was gating occupancy sign-off for the entire building.

The Solution

WeReno mapped the entire building to a live 3D twin in 72 hours.

The architect's BIM was uploaded to WeReno at the start of the final 10-week push. Every zone — ballroom, pre-function, kitchen, AV riser, MEP rooms — became a trackable scope item in the twin. The GC, owner, and each trade lead had role-specific access: trades updated their own zones, the owner saw a real-time completion map, and the commissioning team used the twin to sequence kitchen sign-off without holding up the rest of the building.

The result

Opened on schedule. Zero punch items outstanding on opening night.

The Embassy Grand opened to its first booked event with 100% of the ballroom, kitchen, and pre-function scope signed off — a first for a fit-out of this complexity delivered by this team. The digital handover package, with every asset linked to its commissioning record and warranty, was delivered to the facilities team on day one.
